We manage every step of the hiring process for you - this includes finding the right people, explaining the job to them, overseeing their work, handling human resources and payroll tasks, and even finding a replacement if there's a problem.

So, all you have to do is tell us what tasks you want to give to someone else, and we'll find the best Virtual Assistant for that job. This allows you to concentrate on more crucial matters while we take care of everything else.

How does it work?

1. Initial Call: Start by scheduling a cost-free chat with our outsourcing expert. You can tell them all about the task you need help with, and what you're hoping to find in a Virtual Assistant.

2. Interview process: Once we've nailed down exactly what you need from your Virtual Assistant and what task they'll be handling, we'll begin interviewing suitable candidates. Then, we'll compile a list of the best fits for you to choose from.

3. Start working: When you're ready, we'll officially hire your chosen Virtual Assistant. They'll go through orientation and be all set up. We'll also properly introduce them to both our team and yours, and make sure everyone understands what's expected to ensure everyone's on the same page.

And then it's all systems go! You'll start working with your new Virtual Assistant, with our Outsourcing Remotely team on hand to help out during this initial period. This helps avoid any mix-ups or confusion. Where are the Virtual Assistants based?

Most of our Virtual Assistants are based and live in the Philippines but can work from anywhere.

Do they work on my time zone?

Your virtual assistant works for your company during your preferred working hours. They are just like a regular team member.

Does the Virtual Assistant work for me or for you?

Outsourcing Remotely acts as your employer for the Virtual Assistant who is specifically assigned to handle your tasks.

In simpler terms, we take care of everything related to hiring, human resources, payroll, benefits, taxes, international expenses, and finding substitutes, so you don't have to worry about anything else but your business.

How long does the hiring process take?

The process of hiring depends on the kind of skills you need. If you need a General Virtual Assistant, it usually takes us 1-2 weeks to give you a list of potential candidates for you to interview and choose from.

Do I have to interview candidates?

No need. We make it super simple for you by managing the entire interview process on our end and sending you videos of the top candidates to review and choose from.

If you're not happy with any of the candidates after the interview, we can interview more candidates.

What if I’m not happy with my Virtual Assistant?

If you need to change your Virtual Assistant for any reason, please let us know as soon as possible so we can help you find a new one quickly. You have two choices for your replacement:

1. Keep working with your current Virtual Assistant while we search for a new one for you.

2. Stop working with your Virtual Assistant right away and wait for your new Virtual Assistant (we will temporarily pause your payment and make sure you are only charged from the day the new Virtual Assistant starts working).

Can I hire more than one Virtual Assistant at a time?

Absolutely! You have the freedom to hire as many virtual assistants as you desire without any restrictions.

Our clients often discover additional tasks they wish to delegate, and we promptly assist in finding suitable candidates for those jobs.

Do the Virtual Assistants speak English?

We test and employ Virtual Assistants who are very skilled and fluent in English to help you overcome any communication difficulties that may arise when working with freelancers or other outsourcing companies.

How do I cancel my package?

If you choose to end the outsourcing services you are currently using, please let us know in writing at least 30 days in advance.

But if you decide to cancel the outsourcing services within the first 3 months, you will need to pay the remaining balance for the full 3 months.

Are there any long term contracts?

No. There are absolutely no contracts. This is a month to month service, you can cancel or restart your service anytime. Flat-rate pricing makes it the perfect package.

How do payments work?

When you decide to become a client of Outsourcing Remotely, you will need to make a deposit payment. Our Outsourcing Specialist will provide you with the necessary payment form. Once the deposit is paid, we will begin searching for a Virtual Assistant for you.

After you have chosen your preferred Virtual Assistant, we will work with you to set up a monthly payment system during the client on-boarding process.

You can choose to make these payments using Stripe, a credit card, or through direct bank transfer.

Once the monthly payment arrangement is successfully set up, your Virtual Assistant services will begin, and your payments will be automatically deducted on the same day every week, unless you specify otherwise.

What if I need my Virtual Assistant to work overtime?

If you find that you’re regularly hitting the maximum in your Service Plan, we recommend upgrading or contacting us so that we can find or develop a Service Plan that meets your needs.

What if I don’t use all my hours? Does it rollover to the next month?

No, you can only use the dedicated hours with your Virtual Assistant during the same month, unless there is a specific arrangement stated.

How do lunch breaks work?

If you hire a full-time Virtual Assistant, they will have a one-hour lunch break incorporated into their eight-hour workday. This arrangement guarantees that your Virtual Assistant remains productive and completes their tasks efficiently.

Is there a minimum commitment with my Virtual Assistant?

After you choose your Virtual Assistant, there is a mandatory 3-month period for you and your Virtual Assistant to work together. We've learned that it takes around 3 months of training and getting familiar with each other to effectively incorporate an assistant into your business.

If, for any reason, you're not satisfied with your Virtual Assistant, we will find a more appropriate one for you based on your feedback.

What kind of support do I get with my Virtual Assistant?

Our Customer Success Manager will be in charge of managing the connection between you and your Virtual Assistant to offer continuous assistance and help.

How do I monitor my Virtual Assistant's work?

Every day, our Virtual Assistants will send you a report summarizing the tasks they completed and any challenges they faced.

We believe in building trust with our virtual assistants by focusing on performance rather than relying on a time tracking tool, unless specifically requested.

What if my Virtual Assistant needs to take leave?

Unless otherwise agreed, your Virtual Assistant will be offered 10 days of yearly paid time off after 3 months of employment. Paid time off does not rollover or accumulate over the next year of employment, and will reset every full calendar year starting from the date of employment.

Your virtual assistant must reach out to you or your team for their paid time off to be approved.

In the case of unpaid leave requests, your Virtual Assistant will be required to propose an advanced work schedule to cover the missed work hours prior to the leave dates.

If an advanced work schedule is not possible to cover the missed work, any unpaid leave will be deducted from your next billing invoice.

Are the Virtual Assistants HIPAA Compliant?

Yes, to protect patient security and privacy, every virtual assistant is required to complete HIPAA compliance training.

What about confidential business information?

Every Virtual Assistant must agree not to talk about work matters with anyone except their client and colleagues. It's important to establish trust gradually when hiring employees, whether they are local or virtual, rather than giving them immediate access to confidential information.
